The real story: Gymdesk says all 96 are Active, but attendance trend says 37 deserve a look. Most of those are Watch-tier, early signals worth a light check-in, not a fire drill. The 2 Urgent and 22 High cases are where a real conversation should happen this week. 5 active members have no membership plan on file in this export (Michael mejia, cesar ramirez, parpinya phongpatum, Natalie Garcia, May Cho MUAY THAI) — their $/mo shows as blank until that's fixed in Gymdesk, so actual confirmed revenue is likely a bit higher than the $16,700 shown here. Worth noting: of the 4 Urgent members from last cycle, Kevin Murudumbay came back on his own (August 24) and Kenny Mark officially canceled (see Section 5), those are now resolved. May Cho got a call, she's on vacation and plans to continue, front desk is following up. Michael Rosas was flagged Urgent three reports running, but he trains privately, not on the group class schedule, so attendance data was never going to catch his real visits, he's been pulled out of risk screening (see note below).

Ch33tah Cruz was already 305 days dark in Frozen and finally got processed as a real cancellation instead of sitting there indefinitely. Two real data points is a start, this is what future reports will use to calculate an actual churn rate instead of an attendance-based guess.

This is exactly what the sheet is for. Kevin Murudumbay's entry shows he already came back on his own, so he's off the Priority List above. Kenny Mark and Ch33tah Cruz's entries match the cancellations in Section 5, the log and the Gymdesk export agree. May Cho's entry says she's on vacation and continuing normally, but she's still showing Urgent by attendance since she hasn't logged a visit, that's a case where the human note matters more than the number, front desk just needs to confirm she's actually back when she returns.

Urgent — Phone Call (Best Option)
Still billed, 60+ days dark. Call first, text only as a backup if they don't pick up.
"Hey [Name], this is [Staff] from Matador Muay Thai. I noticed it's been a couple months since your last class and wanted to check in, is everything okay? We'd love to have you back on the mats. If your schedule's changed, we've got some flexible options that might work better for you, and if you're just not feeling it anymore, no hard feelings, I just want to make sure we're not charging you for something you're not using. What's going on?"
Backup text if no answer:
"Hey [Name], this is Matador Muay Thai, tried giving you a call! It's been a couple months since we've seen you and wanted to check in. Call or text back whenever, we'd love to have you back, or if something's changed just let us know."
High Risk — Text First, Call If No Reply
Attendance dropped sharply in the last 30 days. Keep it light, curious, not alarmed.
"Hey [Name]! Haven't seen you in class as much lately, everything good? We'd love to see you back on the mats this week, let us know if there's a time that works or if we can help with anything."
If they reply or you follow up by phone:
"Totally get it if things have been busy. What's your schedule looking like lately, want me to help you find a class time that fits better?"
Watch — Light Text Nudge
Early signal, keep it casual and low-pressure.
"Hey [Name], see you in class this week? We've got [class time] coming up, would love to have you back on the mats!"
Frozen — Reactivation Text or Email
Membership already paused. Goal is just to find out if they're coming back.
"Hey [Name], hope you've been doing well! Just checking in since your membership at Matador Muay Thai has been paused for a bit, are you thinking about coming back soon, or is there anything that would make it easier to jump back in? We'd love to have you on the mats again whenever you're ready, no pressure."
How to use these: Call the Urgent and High names, a real voice saves more memberships than a text ever will. Text is fine for Watch and Frozen. Always personalize the opener with something real, their plan, their favorite class time, how long they've trained, it takes five extra seconds and makes it obvious this isn't a mass blast. Log every outcome in the retention sheet above, even "left a voicemail" or "said they'll think about it," that's what turns next month's report from a guess into a real save-rate number.

Ranked by urgency
Round 1 is done, Mayra emailed everyone below about a week ago. This is round 2: who gets a phone call now, and who gets a second email. Check the retention sheet first, anyone who already replied is off this list.
Action 1 — Today, Call

Escalate the 2 Urgent Members to a Call

Ryan Kahrimanian, May Cho MUAY THAI got an email a week ago with no logged reply. Urgent tier doesn't get a second email, it gets a phone call. Still billed 60+ days after their last class, confirm they still want the membership.

Log every call, even if the answer is "still figuring it out."
Action 2 — This Week, Call

Escalate the 22 High-Risk Members to a Call

Same rule as Urgent, email got no reply after a week, so it's a phone call now, not another email. Ask what changed before suggesting anything, injury, schedule, or losing interest all look the same in the data.

Follow Up the 13 Watch-Tier Members

Watch and Frozen don't escalate to a call yet, they get a second email. This is attempt 2 of 3, if there's still no reply after email #3, mark them "Unresponsive" and stop, don't keep emailing indefinitely.

Cap it at 3 attempts, then move on, revisit monthly instead of weekly.

Follow Up the Frozen List

Same attempt-2-of-3 rule as Watch. Prioritize the 17 who are 90+ days dark first, they're more likely to be silent cancellations than the recently-frozen ones.

A clean frozen list gives next month's report a real churn number to work from.

Log Every Email and Call, Not Just Replies

The sheet currently only shows who replied. Have Mayra add a row every time she reaches out too, sent-but-no-reply included. That's the only way to tell "not contacted yet" from "contacted, silent."

This is what turns next report's numbers into a real response rate.

Re-Run This Report Every Week

Re-export Active, Frozen, and Attendance on the same day each week. Compare who improved, who worsened, and who changed status.
